IN-PERSON NGO CSW68 Forum Parallel Events Application

Dear applicants,

We welcome your applications to host a Parallel Event during the March 2024 NGO CSW68 Forum. Your application will be reviewed to determine the relationship of your proposed Parallel Event to the CSW68 priority and review themes and its relevance to advancing gender equality post-Forum. Please read the following important information in detail before submitting your application.

Important information and dates:

  • Application fee: $125 USD
  • Application opens: Monday, 23 October 2023
  • Application deadline: Monday, 4 December 2023
  • Acceptance and confirmation of event: Monday, 8 January 2024
  • Deadline for schedule changes to your event: Monday, 4 March 2024

Scheduling:

If you are chosen for one of the limited in-person slots:

In your application, you will have the option to choose your preference between the first week of CSW (11-15 March) or the second week (18 - 22 March). If you are chosen for one of the limited in-person slots, we will schedule you for a 90-minute slot in one of our rented rooms within blocks of the UN Headquarters.

After we send your acceptance email with your time slot, you will have two weeks to accept the schedule or request a change. You will not be able to reschedule your in-person event after this. If you are unable to have your in-person event during that time, we can change your session to a virtual event.

Organizations may apply for one in-person event. However, they can apply for more than one virtual event (in addition to an in-person event).

If you are not chosen for one of the in-person slots:

If you are not chosen for one of the limited in-person event slots, we will accept your event as a virtual session. You will have two weeks after receiving your acceptance email to accept or decline.

Live Streaming or Hybrid Events

NGO CSW/NY does not recommend live streaming your in-person event or adding a hybrid/virtual element due to possible technical difficulties or weak wifi connections. If the majority of your speakers and/or attendees will be joining virtually, we recommend switching to a virtual event. However, Parallel Event organizers can decide to add a hybrid or virtual element at their own discretion.

If organizers do live stream or add a virtual element, they are responsible for the equipment. NGO CSW/NY is not responsible for providing any live stream equipment. Organizers will not be able to have an extended setup/break down time due to extra equipment.

Refund and Payment Policy:

A deposit of $125 is due upon application for both in-person and virtual applications. If chosen for a room slot, you will be required to pay the rest of the fee depending on the size of the room you requested upon acceptance. If you are not chosen for one of the limited in-person event slots, we will accept your event as a virtual session and you will not need to pay anything else.

If your event is not accepted, you will receive a full refund. We do not provide refunds for events that are cancelled by the organizers after acceptance.
